Can't decide if this should be under Get Organized.

I have a dance company this Sunday, 8AM load-in, 3PM show and then they're on to other locations. They're on tour as well, so someplace this Friday, someplace else on Sat.

3 weeks ago I start trading e-mails with the tour LD, and we send Vectorworks and Lightwright files back and forth, eventually getting the plot squared away. 2 weeks ago I mention that if he tells me the (seemingly secret) code to the "C/C" on the side tower units - also known as letting me know what he needs in terms of color for color changes, that I will have it all framed and ready, as long as he lets me know by the 13th, to give me time to check stock for missing, order, pickup, cut and frame, allowing time for when we have crew in, the Monday holiday, etc...

He tells me that he won't know till the 13th so he will provide all C/C color..

I let him know (nicely) that it's house policy for visiting companies (it's on our website), that if they are bringing color, they should have it all pre-framed, to avoid the same day requirement to provide house frames for a companies color (with an unknown quantity of frames required - hope I have enough, etc...), then have to take it all out at the end of the evening. Our PM HATES doing that as he loses 1 or 2 people during load-out, not to mention during load -in. I inform the LD that it also our policy that we are more then happy to purchase whatever is required as it goes into house stock.

He says NOPE, he'll provide all, so I assume he needs it anyway, for the tour.

I then get an e-mail Wed. AM telling me “I am having some boom color stuff sent over from Barbizon that I will need for your venue and a few after so be on the lookout for that over the next few days”.

I think - OK, sounds like we're going to end up cutting and framing his color for his frames on Sunday AM. No big deal, we will probably have the time, though I have to either staple the c-frames, use my own supply of brass paper fasteners, tape them, or not. His call.

Today - Thursday, no Barbizon order. I call Barbizon and they have a record of an order being sent to us - paper frames and 3 sheets of color. Went out Wed. and should be a one-day. My initial thought was, it would have been nice to know 3 things: 1) The Barbizon order number in case I have to track it down locally, 2) Where exactly did you send it ? and 3) What's in the order ?.

OK, I think, SOME of the C/C color (C/C is 24 units x whatever changes) and a Yes that we are most certainly going to be cutting and framing on Sunday.

This afternoon, no Barbizon, so I shoot off an e-mail to LD about no Barbizon and what are we getting anyway ?.

The replies are "I think their are some cardboard frames and maybe some color, I can't remember.

And in a 2nd e-mail "Let me know if it doesn't come tomorrow, and I will call them."

My return reply:

"If it doesn't come via FedEx or UPS at our college central routing/shipping/receiving office by tomorrow, 10:30-11AM or so, then it isn't coming (by the weekend). We cannot get UPS of FedEx on weekends. At that point it will arrive next week sometime and I end up having to re-ship to you on the road, or wait till you return to NYC and you can come and get it."

"If this is frames for color change, as well as C/C color, perhaps now's a good time to let me know what it all is so I can 1) Pull from existing stock on Friday, and 2) Whatever is missing in terms of color, I order from LightsUp and go and get Friday afternoon. We can then cut and frame on Sunday AM."

"Let me know."


OK, so perhaps a bit of an attitude in the text, and that's unfortunate before they even get to our space, but it can't be avoided at this point as I DID OFFER TO BUY ALL THE REQUIRED COLOR !, and would thus not be having to deal with all this silly BS

On the other hand, it's simple stuff, not exactly life or event threatening, but JEEZ, 'ya hope there's a learning curve here....

It always sucks when the group has not even arrived in the dock, and you know there are going to be issues. I am the same as you; I like to make sure all of the details are handled way in advance so there are as few surprises as possible. It is ridiculously frustrating when they cannot do a simple thinks like get you a gel count for the show. You could not have possible made it any easier for him, yet you and the rest of the crew will still have to work that much harder to make it happen. It happens all to often (in my opinion) in the touring world, but that is a rant for another time. Good luck with the gig.

As follow up #1:

This morning I get a reply that the boom colors are as follows (with 4 units per boom as #1 top, #4 bottom) - All #1's & #4's as R132, all #2's as N/C, with all #3's staying as L161 as per the original plan.

In other words, lot's of No Colors with frosts and no actual color "changing", thus no C/C.

Now I need to tell the PM that we don't actually need 2 deck electricians for color changes. He won't really want to cut 2 folks off the call at this late stage, so he'll be annoyed.

Can't wait till Sunday.

Sounds like your weekend will be even more fun than mine...

The event went fine, the LD did a nice design actually, with a very good SM calling.

Never heard a thanks for focusing all the Bax, and had to do some touch-ups and specials, then looked at cues.

The LD had given me a disk first thing, to import into Emphasis and this is one of those times I really, really like Emphasis as it let's you Merge cues into the existing patch and macro file. FWIW, I'm still waiting for ETC to get their act together on the Ion/Eos system for things the Emphasis can do. Saw a thread today about trying to merge int Ion an LW patch, seems there are still issues.

I do wish that folks would not take this for granted though, as there was precious little time allocated in the day to punch in 100 plus cues if the disk had been bad. I take in cues from Express/ions all the time with a cue merge that allows the patch and console macros to stay intact. Seems the younger folks don't have the distrust of technology that us older folks have and while I've yet to get into trouble, I have had folks hand me an Expression disk 5 minute before house opening. Gotta wonder what they would have done if the disk had been toast.

Final rant over and on to the next.
